HubSpot: Data Cleansing for Nonprofit

Client Goal:

Ability to filter contacts by location (e.g. State/Province, Country, etc)

Challenge:

  • 3k+ international contact database with temporary and permanent addresses
  • Temporary address and permanent address properties were created as single line text fields (no separation of address, city, state, zip, country)
  • Deadline: 2 business days (the nonprofit had an important sponsor meeting - donor funding was on the line!)

I met with the client on a Wednesday afternoon and was given a deadline of Saturday afternoon to complete this project. I told them the data could be exported from HubSpot and cleaned up in Excel and that our team could script it.

I took the export to our developer and was quickly told, "This isn't possible. Not by that due date, at least." Since 'not possible' wasn't an option for my client, I quickly got the project over to a 3rd party referral partner and project managed the cleanup effort (multiple team members were needed to cleanse the data to the point of being able to execute the script to split out the address info into separate fields). 

Result:

The updated contact database, with all address information split into its own (appropriate) field type was delivered to me for review on Friday morning - amazing teamwork and hustle!! I was able to deliver the updated database to my client by noon on that Friday - a full day ahead of their deadline!

HubSpot: Post-DIY Migration Cleanup

Client Goal: 

1) Clean, accurate HubSpot data for all Contacts, Companies and Deals, with associations

2) Help my client prove to his leadership that "small deals" are worthwhile because they lead to repeat business and expansion opportunities.

Challenge:

After a client's DIY migration from Pipedrive to HubSpot went sideways, they were left with all their Contacts, Companies, and Deals categorized in HubSpot as unique Deals with no association of Contacts to Companies or Companies to Deals.

Result:

I merged records and created the proper associations, untangling the mess of contact info. Since everything had come in as a Deal, there were pages of "Deals" with no info, just contact records. After ensuring the client had all his actual Deals populated with Deal Stage and Amount, I removed the empty Deals, preserving the contact records and associating them to existing Companies when possible. To maintain the data cleanliness, I set automations to associate new Contacts to existing Companies when they're created.

Once Deals were associated to Companies, the client's second goal became much easier! All Deals for a particular company were showing up on the Company contact record, and additionally, since they're on Sales Hub Starter and don't have custom reports available, I used the report template shown below and added Primary Associated Company filters to show the account's revenue growth over time.

A $2,690 deal in February may not sound like much, but it's led to $54,455 to date! The other multi-deal accounts show a similar pattern.

HubSpot + WordPress: Pricing Calculator Update

Client Goal:

Update the logic and price values on their live pricing calculator.

Challenge:

This project was complicated by several factors:

  1. The work was split between the client's Gravity Forms account in WordPress and the properties and workflows in HubSpot.
  2. Someone else originally built it and there was no documentation to refer to 🫠
  3. The client asked their overseas web admin to make the updates on the WordPress side, so we had to coordinate an international launch.

Solution:

After I located all the relevant properties and workflows and understood how they mapped to the Gravity Forms data, I completed the client's property update requests and worked with their web team in Vietnam to coordinate pushing our updates live, ensuring the client didn't experience down time on one of their major lead generators.
